Safety Protocol

Weather Cancellations & Safety Rescheduling

Because our clinics take place on outdoor municipal asphalt hard courts, wet or damp surfaces pose immediate slip-and-fall hazards for developing youth. Hard courts require at least ninety minutes of direct sun and wind exposure following precipitation before ball bounce and shoe traction return to safe operational thresholds.

Our Head Tennis Director conducts an on-site surface inspection two hours prior to any scheduled clinic. If courts are damp, standing water is present, or the ambient temperature falls below 42 degrees Fahrenheit or exceeds 94 degrees heat index, outdoor training is suspended.

Whenever outdoor clinics are rained out, sessions are either transitioned to indoor tactical chalkboard sessions at our partner community centers or rescheduled for Sunday make-up slots. Registered parents receive email notifications at least 90 minutes before clinic start times.

Material Support

Equipment Donation Drop-Off Standards

In adherence to our strict non-commercial mandate, we accept in-kind donations of athletic equipment that can be directly distributed to Brooklyn youth.

Accepted In-Kind Gear Specifications

We gratefully welcome donations of gently used or new tennis racquets (specifically 19", 21", 23", 25", and 26" junior frames, as well as lightweight standard 27" adult frames suitable for high school beginners). All frames are thoroughly inspected by our volunteer stringers, fitted with fresh non-slip replacement grips, and restrung if strings show fraying.

We also accept unopened cans of pressurized tennis balls, specialized training agility cones, low-compression red/orange/green felt balls, and new athletic water bottles. Because we do not sell any donated merchandise, 100% of accepted gear is directly gifted to registered clinic participants who lack their own equipment.

Drop-Off Coordination & Tax Receipts

To schedule an in-kind equipment drop-off, please send an email to [email protected] with a brief description of the items. Equipment drop-offs can be coordinated during Saturday morning clinics at Lincoln Terrace Park or at our Brooklyn administrative storage depot.

Upon acceptance, HQ Tennis Foundation Inc. provides an official written 501(c)(3) in-kind acknowledgment receipt stating our Federal EIN 81-3301812 for your tax deduction records in accordance with IRS publication 526.

Volunteer & Community Coordination Office Hours

Our volunteer coordination team hosts weekly virtual and on-site office hours every Wednesday evening from 6:30 PM to 8:00 PM. Prospective volunteer coaches, parents with scheduling questions, and community advocates interested in launching court revitalization initiatives in their local Brooklyn parks are invited to connect with our staff.

To schedule a dedicated 15-minute consultation with our Volunteer Director during office hours, please submit a note through our contact form above selecting the "Volunteer & Coaching Opportunities" category. We look forward to partnering with you in service to Brooklyn youth.
